Free e-mail programs

Are you looking for free email programs to use on Windows , macOS and / or Linux ? Then I strongly advise you to take into consideration the ones I have reported to you below. I am sure that, in the end, you will be able to find something that will satisfy you.

Thunderbird (Windows / macOS / Linux)

The first of the e-mail programs that I suggest you to consider is Thunderbird , a solution from Mozilla (the same software house as the Firefox browser) which is undoubtedly one of the best email management software available for free. . Its main strengths are multi-platform compatibility (works on Windows, macOS and Linux), support for all the most popular e-mail services, the very high degree of customization and the ability to expand its functionality through extensions. . It is open source in nature and is localized in Italian.

To download Thunderbird to your computer, go to its website and click the Free Download button in the center of the page.

When the download is complete, if you are using Windows , open the .exe file obtained and click the Yes button in the window you see appear on the screen. Then, click on the Next (two consecutive times) and Install buttons and complete the setup by clicking on the Finish button .

If you are using macOS , on the other hand, open the .dmg package obtained and drag the Thunderbird icon into the Mac Applications folder , then right-click on it and select the Open item from the context menu. Subsequently, press the Open button in the window that opens on the screen, in order to start the program, however, going around the limitations desired by Apple against non-certified developers (an operation that must be carried out only at the first start).

Now that, no matter what operating system you’re using, you see Thunderbird’s main window on your desktop, set up the program with your email account. To do this, follow the suggested wizard, typing your name, your email address and the relative password in the text fields provided and clicking on the Continue and Done buttons . If Thunderbird fails to retrieve the configuration parameters by itself, enter them manually.

You can then configure additional accounts by clicking on the button with three horizontal lines located at the top right, selecting the New message item from the menu that appears and the Create a new email account .

After completing the above steps, decide whether to set Thunderbird as your default email client and wait for the synchronization process with your email account to complete.

Afterwards, you will be able to access all the folders of your e-mail account via the left menu, while in the center of the screen you will find the list of messages and you can read the selected ones. On the right, however, there is the calendar, at the top the toolbar to access the address book, apply filters to messages, etc. and the button to compose a new E-Mail. For more information, you can consult my specific guide on Thunderbird.

Outlook (Windows / macOS)

If you are looking for a Personal Information Manager, I can only suggest Outlook . The famous software from Microsoft is certainly one of the best in its sector. It is not particularly “agile”, but for those who need to manage emails, commitments and business contacts in one place it is really ideal. It works with both Windows and macOS and is an integral part of the Microsoft 365 package , so to use it you must have a subscription to the productivity suite of the Redmond company which is paid (with prices starting at 7 euros / month or 69 euros / year), but it can be tried for free for 30 days, which is why I chose to tell you about it anyway.

To use Outlook on your computer, you need to download and install the Office package on your computer, following the instructions I gave you in my guide on the subject. Alternatively, if you are using Windows 10 , you can purchase and download the Outlook application individually from the relevant section of the Microsoft Store (paying 135 euro one-time). Even on macOS you can download the single Outlook application from the relevant section of the Mac App Store and in this case the download is free, but to use the program you need a subscription to Microsoft 365.

After downloading and installing Office or just Outlook, to start using the program do this: if you are using Windows , click on the Start button (the one with the Windows flag ) located at the bottom of left of the taskbar and select the relevant link , while if you are using macOS access the Launchpad by clicking on the relevant icon (the one with the space rocket ) located on the Dock bar and select the Outlook icon in the new screen displayed.

Now that you see the main Outlook window, set up your email account by typing its address into the text field on the screen, clicking the Connect button , entering the associated password and pressing the Connect and Done buttons . This way, Outlook should automatically configure the account. If this does not happen, proceed with the manual configuration, selecting the appropriate item.

After completing the above steps, you will find yourself in front of the main interface of the program and you will be able to manage your e-mail. On the left there is the section with all the mailboxes and folders, next to the list with the emails, while on the right you find the section through which you can read the selected messages. At the top, however, are the toolbar, with buttons for composing a new message, for quick actions, etc., and the menu bar above, with menus for further operations. For more details, you can read my specific Outlook guide.

Mail (Windows 10)

Windows 10 Mail

If you are looking for Windows 10 email programs , the best suggestion I can offer you is to test Mail , the default email client of the latest operating system from Microsoft. It is completely free and you can find it pre-installed on Windows 10 (if removed it can be downloaded again from the relevant section of the Microsoft Store ), it has a pleasant user interface in Italian, supports all the most popular e-mail services, multiple email accounts and includes also the calendar.

To use it, click on the Start button (the one with the Windows flag ) located at the bottom left of the taskbar and select the relevant link from the menu that appears.

Once you run the program, if you are using a Microsoft account on your computer, the client will already be configured with it by default and you can then start using it immediately.

If you are not using a Microsoft account, however, you will have to worry about setting up Mail with the email address of your interest. In this case, select the type of account to configure by choosing from the supported mail services or proceed with the manual configuration. Subsequently, provide your email address and password and, if necessary, also the related configuration parameters.

If after starting Mail you do not see the screen to set up a new account appear automatically or if you want to add an additional email address to the one already set up, you can do so by selecting the little man icon in the left side menu and by clicking on Add Account in the section on the right.

As for the management of e-mail, on the left you will find the menu to access the various folders of the email accounts, the button to start composing a new message, the one to access the settings etc., while in the central part there is the list of emails and you can read those selected on the right. At the top, then, there are the search field, buttons to update accounts and other commands for managing mail.

Mail (macOS)

MacOS Mail

If you’re using macOS and looking for good email management software, I can’t help but suggest you try Mail . It is, in fact, the default e-mail client for Macs. It is very simple to use and configure, has a user interface in Italian and allows you to manage iCloud email accounts and those of all the most popular services. Obviously, it integrates perfectly with the “bitten apple” operating system.

To use it, access the macOS Launchpad , by clicking on the appropriate icon (the one with the space rocket ) that you find on the Dock bar , and click on the Mail icon that you find in the new screen displayed.

Now that you see the main Mail window appear, if you have configured iCloud on your Mac, the application will automatically be set up with it and you can then start using it immediately.

Instead, if you don’t have iCloud or if you want to add another account, do this: click on the Mail menu at the top left, choose the Preferences item from the latter and click on the Account tab in the new window that appears. Then, click on the (+) button at the bottom left, select the provider for the email account of your interest, click on the Continue button and follow the guided configuration procedure that is proposed to you, providing the necessary data.

After completing the above steps, you will find yourself in front of the main interface of the client, which is organized as follows: on the left there is the list of mailboxes and folders and that of messages, on the right there is the area dedicated to viewing the selected emails, while at the top you will find the toolbar with buttons to start composing a new email, mark messages, trash them, etc. Further up, then, is the menu bar above, with the additional options for managing the client.

Other free e-mail programs

eM Client

None of the e-mail programs that I have already proposed have convinced you in a particular way and, therefore, would you like me to suggest alternatives ? No sooner said than done! You can find them in the following list.

  • eM Client ( Windows / macOS ) – free email management software (for private use only) and compatible with both Windows and macOS. Among the main features is the ability to customize the interface and support for POP and IMAP protocols, so you can add all your email accounts without too much trouble. It also supports synchronization with Google Calendar, integration with some of the most popular social networks and the ability to import email messages from another email client on your computer.
  • Postbox ( Windows / macOS ) – is a popular e-mail management program. It is based on the Thunderbird engine , so it offers all the features of the latter, but adds a series of interesting extras, such as integration with social networks and support for cloud storage services (eg Dropbox and OneDrive) for quick file sharing. It works with both Windows and macOS and is paid (costs $ 59), but I still chose to include it in this list because you can download and try it for free for 30 days.
  • MailBird ( Windows ) – is one of the most complete e-mail programs available in the Windows environment. It is very fast, supports the main email services and – which differentiates it from many similar products – offers the possibility of installing “apps” that allow you to use Facebook, WhatsApp, Google Calendar, Slack and other very useful online services directly to the inside the program. It’s free, but some features “expire” after 30 days, such as the ability to configure more than one email account within the software, preview attachments, and the ability to postpone emails. To unlock all the features, you need to purchase the full version of MailBird (which costs 2.42 euros / month or 65 euros one-off).
  • Airmail ( macOS ) – is one of the most complete email clients for Mac. It supports Gmail, iCloud,, Exchange, Yahoo! Mail and all POP3 and IMAP accounts, it also integrates with cloud storage services, with various third-party applications and with macOS calendars / reminders. Its interface can be customized down to the smallest detail, it supports the use of multiple accounts at the same time and the synchronization of preferences and settings. You can download it for free, but to take advantage of the functions offered you need to subscribe to a paid subscription (at a cost of € 3.49 / month or € 10.99 / year).

Certified e-mail programs

Photo showing a sealed envelope

Do you have a PEC mailbox and, therefore, would you like to understand if there are also programs for certified e-mail ? If this is the case, I inform you that you can use the same clients that I have already pointed out to you in the initial chapter for what concerns “traditional” e-mail.

The only care you must have is to correctly set the program with the IMAP parameters necessary for accessing your certified e-mail account, as automatic configuration is not generally supported. For further information on this, you can refer to my specific guide on PEC.

Email app

Search word with android smartphone

Do you prefer smartphones and tablets to the use of computers and, therefore, would you like me to suggest you some e-mail apps to use on your mobile devices? If that’s the case, I suggest you read my review on the best Android email clients and my guides on how to view all emails on iPhone and how to receive emails on mobile.

I already anticipate that even for what concerns the mobile side, there are a lot of solutions, able to satisfy all needs and preferences, which you can consider turning to, both on Android and on iOS / iPadOS .
