Interested in finding out which are the best email clients for Windows , macOS and Linux ? Then continue reading: below you will find those that, in my humble opinion, represent the most interesting solutions of this type. Put them to the test and I’m sure you won’t regret it!
Mail (Windows 10)
If you are using a PC with Windows 10 installed , I recommend that you first contact Mail , the default email client of the latest operating system from Microsoft. It has a nice user interface, is easy to use, supports various email services, the use of multiple email accounts, and what’s more, it’s totally free. It should be noted that the application is installed “as standard” on the PC, but if not available or removed it can be downloaded from the relevant section of the Microsoft Store .
To be able to use it, click on the search field at the bottom left of the taskbar , type “mail” in it and select the relevant link from the menu that appears. At this point, if you are using a Microsoft account on your PC, the application, by default, will be configured with the latter and, therefore, you can start using it immediately.
If, on the other hand, you are not using a Microsoft account, you will be asked to configure the client with the email address you intend to use. In this second case, you will then have to select the type of account to configure, choosing from the supported mail services or you can decide to proceed with the manual configuration, after which you will have to provide your email address and password and, if necessary, the configuration parameters of this ‘last.
In the event that after starting Mail, the screen for setting up a new account does not appear automatically or if you wish to add an additional email address to the one already set up, you can do so by expanding the left side menu, by clicking on the button with the three horizontal lines at the top, by selecting the Account item from the latter and, subsequently, by clicking on the word Add account that appears in the box on the right.
As regards the management of e-mails, you will find the list of e-mails in the left part of the program window: those highlighted in the Highlighted section and all the others in the Other section . You can also help you find the emails of your interest by using the filters attached to the top menu and through the search field. All open emails will then be visible on the right.
To start composing a new message, instead, click on the (+) button located in the left side menu, then fill in the appropriate fields that you see appear on the right side of the screen.
I also inform you that, again using the left side menu, you can select an account other than the one in use, access the folders of your e-mail address, the contact list, the calendar and the application settings, by clicking on the corresponding buttons.
Outlook is Microsoft’s famous application for managing e-mails and calendars. It is an email client working on both Windows and macOS, easy to use and at the same time inclusive of advanced features. Note that the application is an integral part of the Office 365 package , which is why, to use it, you need a subscription to the productivity suite of the Redmond company which is paid (with prices starting from 7 euros / month or 69 euros / year), but can be tried for free for 30 days.
To be able to use Outlook, you need to download and install Office 365 on your computer, following the instructions on what to do that I gave you in my guide on the subject. Alternatively, if you are using Windows 10 , you can individually download the Outlook application from the Microsoft Store by paying a one-time fee of 135 euros. On Mac you can also download the single Outlook application by visiting the relevant section of the Mac App Store , but to use the program you will need an Office 365 subscription.
Once you have downloaded and installed Office or Outlook only, in order to use the program, proceed as follows: if you are using Windows , click on the Start button (the one with the flag ) located at the bottom left of the taskbar , type “outlook” in the search field that appears and select the relevant link . If you are using macOS , on the other hand, access the Launchpad by clicking on its icon (the one with the space rocket ) on the Dock bar and select theOutlook icon .
After viewing the main Outlook screen, configure your e-mail account by typing the relevant email address in the field displayed on the screen, clicking on the Connect button , entering the associated password and pressing the Connect button and then the Done button . By doing so, Outlook should set up the account automatically. If this does not happen, you can proceed with the manual configuration by selecting the appropriate wording.
Later, you can start using Outlook to manage email. In the left part of the program window, in fact, you will find all the emails (which you can filter with the search field); on the right you can view its contents (once selected), while at the top there are the toolbar , with buttons for quick actions, to access the address book, etc., and the menu bar , with menus for further operations .
To compose a new message, instead, just click on the New e-mail message button located at the top left and fill in the fields attached to the appropriate window that will subsequently be shown on the screen. For more details, you can read my specific Outlook guide.
In an article on the best email clients it is practically impossible not to mention the name of Thunderbird . In case you have never heard of it, it is a program from Mozilla (the same software house developer of the Firefox browser), totally free, of an open source nature, compatible with Windows, macOS and Linux, highly customizable thanks to special extensions and able to support all the most popular e-mail services.
To be able to download it to your computer, visit the program’s website and click on the Free Download button . When the download is complete, if you are using Windows , open the .exe file obtained and click the Yes button in the window that opens on the screen. Subsequently, to complete the setup, click on the Next (two consecutive times), Install and Finish buttons .
If you are using macOS , on the other hand, open the .dmg package obtained and drag the program icon to the Applications folder on your computer. Then, right-click on it and select the Open item twice in a row, in order to start the client, however, going around the limitations desired by Apple against non-certified developers (an operation that must be performed only at the first start).
Now that, regardless of the operating system used, you see the main Thunderbird window on the screen, configure the program with your e-mail address. To do this, follow the guided procedure that is proposed to you, typing your name, your email address and the relative password in the appropriate fields and clicking on the Continue button and then on the Done button . If the software is not able to independently retrieve the parameters for the configuration, digital “manually”. Subsequently, you can configure new accounts by pressing the button with three horizontal lines (top right) and selecting the items New message> Create a new email account from the menu that opens.
At this point, choose whether to set the email client as default or not and wait for the synchronization procedure with your email account to be completed. You will then be able to access all the folders of your account in the menu on the left, in the center of the Thunderbird window you can instead read the selected messages (which you can more easily locate using the search bar), while on the right you will find the calendar.
I also point out that at the top there is the toolbar to access the address book, apply filters to messages, etc. Also on the toolbar, find the Write button , to compose a new mail message. After clicking on it, just fill in the fields attached to the new window displayed to send an email. For more details, you can check out my post focusing specifically on Thunderbird.
If you’re using a Mac , you can use Mail , the default email client pre-installed in macOS , to manage your electronic correspondence . It is easy to use, has a simple and intuitive user interface and allows you to perfectly manage your iCloud email accounts and all the most popular email services. Clearly, it is perfectly integrated with the Apple operating system.
To be able to use it, click on the appropriate icon (the one with the stamp ) on the Dock bar . Alternatively, call up the Launchpad by clicking on its icon (the one with the space rocket ) on the Dock bar and select the Mail icon on the screen that is proposed to you.
Once the main Mail window is displayed, if you have configured the use of iCloud on your Mac, by default, the application is set up with it and you can then start using Mail immediately.
Otherwise, or in any case if you intend to add another account, proceed as follows: click on the Mail menu at the top left, select the Preferences item from the latter and, in the window that opens on the desktop, click on the Account tab . Subsequently, click on the (+) button at the bottom left, choose the provider for the email account of your interest, click on the Continue button and follow the proposed configuration procedure providing the required data.
Afterwards, you will find the list of messages in the left part of the Mail window (which you can filter using the search bar) and you will be able to read the ones selected in the right part. At the top, however, there is the toolbar , with buttons to view the list of mailboxes and folders, to mark emails, trash them, etc. Further up there is the menu bar , from which you can further configure the use of the application.
To write a new email, click on the button with the pencil and paper at the top left, then fill in the appropriate fields attached to the new window that you see appear on the desk.
Best Android and iPhone email clients
Now let’s move on to the best email clients for mobile devices, the ones you can use on Android smartphones and tablets and on iPhones and iPads . You will find listed below those that, in my opinion, are the most interesting and efficient in the category.
The first mobile email management solution I suggest you consider is Gmail . This is the app of the renowned e-mail service made available by Google, which can be used not only to take advantage of the email accounts created with the latter, but also those of other services. It’s free, easy to use, and available for both Android and iOS / iPadOS.
Note that on most Android devices the application is pre-installed, so to be able to use it, all you have to do is touch the relative icon (the one with the white envelope with red borders ) that you find in the drawer. If the app is not present on your device, first download and install it by visiting the relevant section of the Play Store and pressing the Install button .
If you are using an iOS / iPadOS device , on the other hand, visit the relevant section of the App Store , press the Get button , then the Install button and authorize the download using Face ID , Touch ID or Apple ID password . Then, start the app by touching the Open button that appeared on the screen or by selecting the relative icon that has been added to the home screen.
Now that you see the main Gmail screen, tap the Login button , select the email service you want to configure and follow the instructions that are shown on the screen, to enter the email address and password of the account of your interest . If Gmail is not able to set up the account automatically, you will also need to enter the related configuration parameters.
At the end of the procedure, you will be able to find all the emails received directly on the main screen of the app. Then, if you want to access the other sections of Gmail, tap the icon with the three lines horizontally located in the upper left corner and identify those useful to you from the menu that appears.
To write a new email, however, tap the (+) button located at the bottom right and fill in the fields attached to the screen shown below. For all the details of the case, you can read my specific guide on how Gmail works.
Outlook , the Microsoft e-mail client I mentioned in the step at the beginning of the guide , is also available in the form of an app for Android and iOS / iPadOS. In this case, however, the application can be downloaded and used completely free of charge and it is not necessary to subscribe to any Office subscription to make it work.
To download and install it on your device, if you are using Android , visit the relevant section of the Play Store and press the Install button . If you are using iOS / iPadOS , on the other hand, access the relevant section of the App Store , press the Get button , then the Install button and authorize the download using Face ID , Touch ID or Apple ID password . Then, start the app by touching the Open button that appeared on the screen or by selecting the relative icon that has been added to the home screen.
Now that you see the main Outlook screen, configure your e-mail account, indicating the email address in the displayed field, tapping the Add account button and typing the relative password. If the app is unable to proceed with the automatic configuration, you will be asked to enter “manually” the other parameters necessary to use the service.
Next, you will be shown all the email messages received in the Inbox folder , which is divided into the Highlighted and Other categories . To see the other folders, tap on your profile thumbnail located in the top left corner.
To write a new email, instead, touch the pencil icon located in the upper right corner and fill in the fields attached to the new screen displayed.
Mail , the macOS application I told you about in the step at the beginning of the guide , is also available in a mobile version for iPhone and iPad. It is free and has practically all the main features of its computer variant. Note that this is the default iOS / iPadOS e-mail client and is pre-installed on all mobile devices of the “bitten apple”. If removed, it can possibly be downloaded again from the relevant section of the App Store .
Keep in mind that, if you have configured the use of iCloud on your iPhone, Mail will be ready to use with its e-mail service, so to be able to use it, all you have to do is select the app icon (the one with the white envelope on a blue background ) on the home screen.
If you have not configured iCloud on your device or, in any case, you want to add a different email account, you must first proceed as follows: tap on the Settings icon (the one with the gear wheel ) on the home screen, select the item Password and account (on iOS 14 and later you need to go to Settings> Mail or Settings> Contacts ) from the displayed screen and touch the word Add account . Then indicate the type of account you want to add, provide the relevant data and turn ON the switch that you find next to the Mail item, as I explained to you in detail in my guide on how to set up Mail on iPhone (also valid for iPad).
Once you have completed the above steps, once the main Mail screen is displayed, you will find yourself in front of the incoming mail. If you want to view the other boxes, instead, just tap on the words Boxes at the top left.
Are you wondering how to compose a new message? Nothing could be simpler: touch the icon with the pencil and the sheet at the bottom right and fill in the fields visible on the screen. That’s all!
Other email clients for Android and iPhone
None of the email clients for mobile devices that I mentioned in the previous lines has convinced you in a particular way and are you therefore looking for some alternative ? - Aqua Mail ( Android ) – app for Android devices only, with a clean and well-finished and easy-to-use interface, through which you can quickly manage your e-mails. Note that many customizations can be applied by accessing the settings. It’s free, but offers in-app purchases (at a base cost of € 10.99) to unlock extra features.
- Airmail ( iOS / iPadOS ) – application available exclusively for iPhone and iPad that allows you to manage all the main email accounts, thanks to a rich set of highly customizable features according to need. It also integrates seamlessly with other apps and supports synchronization via iCloud. It can be downloaded for free, but to be exploited it requires the subscription of the appropriate subscription through in-app purchases (at the basic cost of 2.99 euros / month).
